B. Terms of Rentals and Use for Private Functions

FCHOA Facilities & Amenities Rules & Regulations - Revision Date: 2023-09-28


1.     Events must be booked at least 7 days prior to event date.


2.     Family/Social /Private Functions specified in Sections II. B. C. and D. (Page 8) must have strictly controlled guest lists. Open parties are not allowed, and the number of invited guests must conform to the fire code for the facility used. The guest list and deposit must be submitted to the Activities and Recreation Manager no later than 72-hours prior to the event or provide a dwellingLIVE® guest list to Security and the ARM. Access to the S&T Club facilities will be denied for failure to provide a guest list. Only those on the guest list will be permitted access into Ford's Colony.


3.     Hosts or sponsors of functions must complete all application forms, along with the appropriate deposit and all applicable fees when reservations are made. The form, the deposit, and fee checks, if applicable, must be submitted together to secure a reservation.


4.     The deposit is non-refundable for an event canceled less than 7 days prior to the scheduled event except in the event of unforeseen circumstances beyond the control of the sponsor/host such as, but not limited to, a death in his/her family or extreme weather (such as a hurricane or blizzard) or rescheduling for alternate date.


5.     A host or sponsor that leaves the facilities in poor condition (i.e.; in a condition other than which it was before the event; see Clean-up Worksheet in the ARM office) will be charged an additional clean-up fee. If damages are incurred, the host or sponsor will be billed for the cost of repairs.


6.     Fees for set-up and breakdown are set forth and required for all Family, Social, Private, Business and Charity, Private Outside functions in Exhibits I and II.


7.     Caterers using the S&T Club kitchen or bringing in prepared food must be pre-approved by the Activities and Recreation Manager. The host must assume responsibility for caterers and any other vendors.


8.     Saturday and Sunday events could be subject to an additional weekend surcharge fee.


9.     Use of the audio/visual equipment is subject to additional fees. See Exhibits I and II. Instructions on the use of the equipment should be arranged ahead of time with the Activities and Recreation Manager or Staff.


10. Furniture and equipment brought into the S&T Club must be removed immediately after the event unless other arrangements are made in advance with the Activities and Recreation Manager.
